The Chicago Detention Dispute
Dear James and Olivia,
I am writing to formally dispute the unpaid detention charge for load #882193, which was delivered to the Chicago receiver on October 14th. We have been working with your brokerage for over two years, and we always support your shipping needs with our growing fleet size of forty power units and sixty temperature-controlled trailers. However, we cannot accept the flat rejection of this valid detention invoice.
Our driver, John, arrived at the facility well before his scheduled check-in time of 08:00 AM. According to our ELD records and the automatic geofence alerts, the truck entered the facility gate at 07:42 AM. The guard stamped the gate log with an in-time of 07:45 AM. However, the receiving office refused to give him a door assignment, and he was forced to wait on a door for over six hours.
We have been waiting for this payment for over three weeks now. Your billing department claims that there is no valid proof of waiting because the receiver did not write a hand-written check-out time on the bill of lading. This is extremely unfair. The receiver's staff simply refused to timestamp the papers when our driver finally departed. Fortunately, our GPS geofence data provides undeniable evidence that the truck did not leave the yard until 03:15 PM.
Under our agreed wait-time policy, we are owed exactly four hours of chargeable time, which totals $300 in accessorial charges. We have already sent you the complete ELD records, the gate log receipt, and a signed statement from the driver. This is clear proof of waiting. We always make sure our trailers are clean and our power units are on time, and we expect the same professional standard from your team.
I must escalate this to the broker management because James has been ignoring our emails for two weeks. When James first made a cold call to our office last year, he promised that your company always pays detention disputes quickly if the carrier has solid ELD data. We trusted that promise, and we have been prioritizing your freight over our other direct shipper accounts. We hope to resolve this without damaging our partnership.

James,
Why has this dispute been sitting unresolved for two weeks? Blue Star Logistics is one of our most reliable partners, and they have been helping us cover difficult lanes when our direct shipper needs urgent capacity. Please review their ELD records and the gate log timestamp immediately. If their geofence data matches our system, we need to pay this detention invoice without further delay.

Olivia,
Thank you for your prompt response and for looking into this matter. We truly appreciate your professional approach to managing your carrier relationships. I have attached the original rate confirmation and the timestamped proof of waiting again for your convenience. We have been maintaining a 99% on-time delivery rate for your brokerage, and we want to keep running your freight.
Sarah

Sarah,
Paid. Sorry. Never happening again.
James

Why is Sarah disputing the unpaid charge?
- Because the broker refused to pay the valid detention invoice.
- Because the driver arrived late for his check-in time.
- Because the shipping needs of the carrier have changed.
How did Sarah prove that the truck was at the facility?
- By using the driver's handwritten notes on a receipt.
- By using GPS geofence data and gate log timestamps.
- By calling the direct shipper to confirm the delivery.
Why did Sarah escalate the email to Olivia?
- Because James has been ignoring their emails for two weeks.
- Because the carrier wanted to increase their fleet size.
- Because Olivia is the direct shipper for this specific load.
What was James's final response to the dispute?
- He refused to pay and closed the account.
- He asked for more ELD records and gate logs.
- He agreed to pay and apologized briefly.
